At Baerbel Jennert Foundation, we are committed to keeping the trust and confidence of everyone who comes into contact with us. It is therefore important that you know how we collect and use your personal data when you do things like visit our website, act as a volunteer or make a donation. What information do we collect?
We collect personal information from you when you contact us, take an online action, sign up for our email newsletter, fund-raise for us, make a donation or otherwise provide us with personal information.
The information we will ask for during this process could include your name, address, email address, phone number and your paypal, credit/debit card or bank account details where applicable.
We may occasionally ask for supplemental information such as, how you heard about us or what motivated you to take action, but this will be purely voluntary and will only be used to help us to improve your experience or ensure that we are only contacting you about issues you are interested in.

Any information we collect about you is used to further our work of improving life for the poor and vulnerable people especially women, youths and orphans in Kenya.

• Claiming Gift Aid on donations
• Communicating and raising awareness about our work
• Raising funds for women, youths and orphans in Kenya
• Surveys where we ask your opinion
• Dealing with inquiries and complaints made by or about you relating to our website
• Sending you our communications, (this may include such things as our call to action, newsletter, invitations to events) if you have requested it. This may be via email, social media, SMS or post.
Contacting you electronically
Whenever you complete a form on this website we will ask for your email address.
We would like to send you updates about our work and at the point of completing the form we will give you the option to agree to further contact via email.
We may also ask for your consent to contact you via other electronic methods, such as social media and SMS.
Contacting you offline
Whenever you donate to us, your details will be entered into our secure supporter database, which is hosted by a third party. Depending on how you have chosen to stay in touch with us, we may contact you on this database via telephone or post to update you on our work.
If you do not wish to receive phone calls or mail from us, you can ask to opt-out from these communications at any point.
There are some donation communications that we are required to send regardless of your contact preferences. Essential communications, deemed necessary to fulfill our contractual obligations to you include Direct Debit confirmations and advanced notices, thank you letters, renewal reminders, Gift Aid confirmation letters, changes to regulations and querying returned mail or bounced Direct Debit payments with you.
Donations
We carry out targeted donation activity to ensure that we are contacting you with the most appropriate communication, which is relevant and timely and will ultimately provide an improved experience for you.
In doing so, we may use profiling techniques or use third party data to provide us with general information about you.
For prospective key stakeholders we may carry out research to determine if they may be interested in hearing about the work we do improving the health, education and living standard of widows, single mothers, youths and orphans in Kenya.
How long do we keep your personal data?
We keep your personal information only for as long as required to carry out the service that you have provided it for.
We follow a data retention policy, that sets out the length of time which we hold your data for. This will depend on the reason why we hold your data, various legal requirements and when we have a legitimate reason for continuing to hold your information.
When this information is no longer required we will dispose of your information in a secure manner.
Do we ever share your information with third parties?
We never sell or share your data with third parties for commercial use. From time to time, we employ third parties who work on our behalf and we share your data with them in order to carry out donation activities.

In most instances, however, we will rely on obtaining your consent to our use of your personal information. This is the case, for example, where we seek to obtain your consent to receive email and SMS marketing about Baerbel Jennert Foundation.
In certain instances, we collect and use your personal information by relying on the legitimate interest legal basis.
Our legitimate interests are essentially the interest in running Baerbel Jennert Foundation as a charitable organization, being as effective as possible in pursuing our goals and mission.
How secure is your information?
All interactions and transactions which take place on our website are fully secure. Our website has a certified Secure Socket Layers (SSL) certificate. This is the standard security technology for establishing an encrypted link between a web server and a browser. This link ensures that all data passed between the web server and browsers remain private and integral.
Your financial transactions are managed by payment provider services which also use secure technology systems. We ensure that any other providers use proper security systems.
When you make a transaction, your data is securely passed to our supporter database which also uses industry standard secure protection systems.

For financial and technical reasons, we may on occasion transfer your data to countries outside the Kenya, which may mean that your information is transferred, processed or stored outside the Kenya.
Children
We are committed to providing children with particular protection when processing their data.
If we process information for children under the age of 18, should they take part in a fundraising event for example, we will require consent from an adult acting in a parental role.
If there is any doubt over your age, or that the adult does not act in a parental role, we may seek confirmation of this.

You can ask us if we are keeping any personal data about you and you can also request to receive a copy of that personal data – this is called a Subject Access Request.
Please try to be as clear as possible about the information you are seeking.
Once we have received your Subject Access Request and proof of identity, you will receive a response from us and you will be able to get copies of your personal data and information on how we use your personal data.
Right to rectification and erasure
You may request that we delete or correct your personal information. We will always aim to process these changes as quickly as possible.
